CONTEXT

ROC Co. is a globally recognized wedding and event planning agency. Featured in Brides, Wedluxe, British Vogue and Conde Nast Brides. Primarily catering to a high-end clientele seeking exclusivity and opulence.

The Agency is primarily managed by its managing director who uses and subscribes to several online tools to manage event and client relations. Data is dispersed across multiple platforms and demands substantial time and effort for management and synchronization.

Our team was tasked with proposing a digital solution and interactive strategy to provide a space for the client, the managing director to manage events and communicate with clients more effectively.

How might we develop an interactive strategy that brings together multiple features into one digital solution that effectively manages and communicates with clients to optimize and streamline business processes and increase efficiency?

PROJECT GOALS

The goal was to provide a digital solution (e.g. mobile application, software, websites) to manage RO Creative’s operations and client communication in one space, within 10 weeks.

One Unified Planform

The solution involves integrating into the existing website, a login section for both wedding planner and clients, resulting in the creation of two main sections for the mobile and desktop.

Core Strategy Driven by Design Thinking

Our process followed four high-level phases: Research, Analysis, Ideation, and Design. Within each phase, there was extensive collaboration between team members, thorough documentation, and effective stakeholder management to fully understand the problem and users. This approach enabled us to deliver a solution that not only addresses current pain points but is also scalable.

🔎 RESEARCH

The research process involved meeting with the client to gain a comprehensive understanding of the problem and its impact, as well as additional information to help us empathize. We then defined the project's objectives, timelines, and the way forward to provide structure for the upcoming weeks. This was followed by a SWOT analysis to gain a broader perspective on the issues.

The Analysis phase is where we delved deeper into gathering additional information to draw insights from the research phase. We conducted a thorough competitive analysis of existing platforms to identify gaps and opportunities. Additionally, we conducted user interviews to define personas, which would drive the ideation and design phases.

💡 IDEATION

Personas guided our decision-making process.

Armed with all the data and insights we needed, we conducted several brainstorming sessions to develop the solution. Many ideas emerged, but it was crucial for us to prioritize key features to propose a minimum viable product (MVP). Collaborative tools like Miro were invaluable during this phase.

User Journeys Shaped by Narrative

Creating a narrative around the UX theme, “Connect, Manage, All-in-One”, helps us emphasize how the proposed solutions impact the user. It illustrates not only a use case but also the journey a user might take, including their feelings and emotions.

Managing Client Expectations

Effectively managing client expectations involves understanding their needs, setting clear goals, and maintaining transparent communication. By setting realistic timelines and deliverables, and being flexible to changes, we can build trust and ensure client satisfaction throughout the project.

AI isn't the solution to all problems

AI has powerful capabilities but is not a cure-all. Understanding its limitations, applying it appropriately, and ensuring human oversight are essential. AI should complement human expertise and be integrated seamlessly into existing systems to truly add value.

Great UX drives business value

Great UX enhances customer satisfaction by making products intuitive and enjoyable to use, leading to higher engagement and retention. It also reduces development costs, boosts conversion rates, and differentiates a business from competitors, ultimately driving increased revenue and loyalty.
